The Role:

We are seeking a committed full time Secretary to provide secretarial & administrative support to the School's Academic Hub, in particular the Deputy Head (Academic) & the Assistant Head (Staff Development). This is to start as soon as possible.

Main Responsibilities:

  • All aspects of cover - arranging cover through i-sams, recording absences, publishing and distributing cover, working with the Deputy Head (Academic) and Timetable Manager as appropriate regarding allocation of reliefs and cover
  • Overview of rooming of lessons, including room changes
  • Assisting the Deputy Head (Academic) in all areas pertaining to the academic running of the school, including but not limited to:
  • Subject options: production of options documentation; recording of options information, including options changes
  • Internal examinations: supporting the Deputy Head (Academic) in the administration of the internal exams, eg examination rooms, examination folders
  • Administration relating to academic matters, eg letters to parents, creating forms
  • Arrangement and management of parents' evenings
  • Supporting with administration of exam results
  • Maintaining the calendar of the Deputy Head (Academic) and arranging meetings
  • Taking minutes at meetings of Head of Departments and Academic Board
  • Preparing and publishing documentation for the Education Committee of governors
  • Updating the Staff Handbook annually with the relevant policies
  • Organising prize-giving
  • Covering the main office during holiday periods
  • Support the Assistant Head (Staff Development) with administration regarding staff development, staff review and training including ISTIP, new staff induction and information

Salary and Conditions:

The hours of work are 7:30am to 4:00pm Monday to Friday with a one-hour unpaid lunch break. However, some flexibility will be required, in particular where meetings take place at the end of the school day. It is an all year-round position; however, the school would consider the role working less weeks, particularly in the summer period. The salary will depend on relevant experience and qualifications. A contributory pension scheme including life assurance is available.
